Definition

A canned response is a pre-written reply that a support agent saves once and inserts whenever the same question comes up, usually with placeholders for the customer name and details. It is also called a canned message, canned answer, or saved reply. Unlike a macro, it changes only the message, not the ticket status, tags, or assignee.

Why it matters

Canned responses are the cheapest consistency mechanism in support, and the fastest way to make a team sound like a form letter. The difference is whether the response is used as a starting point that gets edited or as a finished answer that gets sent.

What to know

  • Track edit rate. Responses that are always heavily edited are badly written, not badly used.
  • Placeholders that are left unfilled are the most visible support failure a customer can receive.
  • Canned responses on complaints reliably escalate the complaint rather than resolving it.
  • They are best for factual, procedural, and status content where consistency genuinely matters.
  • A response used constantly with almost no editing is a fully specified automation candidate.
  • Canned response versus macro: a canned response changes only the message. A macro can also set tags, status, priority, and assignee in the same click.

An example

Example: a canned response explaining data export steps is sent forty times a week with no edits. That is a perfect answer being delivered by an expensive method. A canned apology for a service outage sent unedited reads as indifference.

Canned response examples

Three short canned responses. Placeholders are in square brackets, and each should be read and edited before sending.

Questions

What does canned response mean?
A canned response is a ready-made reply, written once and reused whenever the same question comes up. Canned means prepared in advance, as in canned food. In support tools it is also called a saved reply, canned message, or quick reply, and it usually includes placeholders for the customer name and details.
What is a canned message?
A canned message is the same thing as a canned response: pre-written text saved in a help desk, chat tool, or email client and inserted with a shortcut. Canned message tends to be used for chat and messaging, canned response for email and tickets, but the meaning is identical.
What is a canned answer?
A canned answer is another name for a canned response: a standard answer prepared in advance for a question that comes up often, such as how to reset a password or where to find an invoice. The agent inserts it, fills in the details, and sends it. For ready-made wording, see our 24 canned response examples.
When should you not use a canned response?
Avoid canned text for complaints, apologies, cancellations, and anything where the customer has explained something personal. Those moments need a reply that proves someone read the message. Canned responses belong on factual, repeatable questions, where a consistent and accurate answer is exactly what the customer wants.
What is the difference between a canned response and a macro?
A canned response inserts text. A macro inserts text and performs ticket actions such as tagging, status changes, and assignment. Most tools use the words loosely, so check what the feature actually does.
Do canned responses hurt customer satisfaction?
Only when used in the wrong place. Customers do not mind a standard answer to a standard question. They mind a standard answer to a personal complaint, and they can always tell the difference.
How do I keep canned responses current?
Give each one an owner, review them on every policy or pricing change, and check the edit rate. Responses agents consistently rewrite are telling you the saved version is wrong.
